Branch Administrator

SUMMARY

The Branch Administrator is responsible for working closely with the Branch Manager to ensure daily operations and administrative duties are taken care of in order to assure repeat business.

(This is a 18 month contract position) 

DUTIES AND RESPONSIBILITIES

  • Prepare and distribute daily and monthly key performance indicators as needed to meet our goals.
  • Generate purchase orders for branch and service department needs; to be able to invoice customers.
  • Enter timecards for service technicians on a daily basis to enter their working hours onto payroll.
  • Enter work order comments into the computer to track information on the work done by the technicians on the machines.
  • Open work orders and dispatch service calls in the absence of the service administrator and work orders are then used to generate invoices and answer service calls to satisfy customers.
  • Track and submit payroll for hourly employees.
  • Filing of all branches, including work orders and packing slips; to better retrieve information when needed.
  • Timely processing service credits in order to keep current.
  • Answer phone calls with a high level of customer service to assist customers with our services.
  • Enter weekly, monthly and quarterly statements into the system to follow up with customers and update branch managers and regional service managers.
  • Cover overflow of parts calls and rely messages to parts specialists
  • Document and maintain branch policies and procedures to set it up in order for employees to access.
  • Create incoming and outgoing machine documents, have written approvals, signatures of all parties and maintain machine records to keep information up to date.
  • Documentation of safety meetings and workplace inspections to ensure that safety procedures are being followed.

EDUCATION/ TRAINING:

  • Post-secondary diploma and/or relevant working experience;
  • WHMIS, site orientation and Safety Training is an asset.
